Purpose and Scope

This policy outlines Binding Minds Inc’s practices for collecting prospective candidate’s personal information.

Applicability 

This Privacy Policy applies to every visit to our Career Site and Portal, use of our recruitment services and all personal data of job applicants processed by Binding Minds Inc. in connection with our recruitment process.

By visiting, accessing and using our Career Site or Portal, you agree with and consent to the collection and use of the information as described in this Privacy Policy, including the transfer of your information and personal data to the various portals of our clients who offer career opportunities.

Personal Information

Personal information in this Privacy Policy means information about an identifiable individual and as defined from time to time in applicable privacy legislation. This may include your name, email address, phone number and mailing address.

Where the Personal Data Is Collected

When you apply for a job through Binding Minds Inc. the initial personal data about you that we process is likely to come from you, or recruiters, and career portals where you have posted your resume and personal information. This data includes for example, contact details, employment history and information on your immigration status and whether you can lawfully work.

We might ask you to complete a work preference questionnaire which is used to assess your suitability for the role you have applied for, the results of which are assessed by recruiters.

We may also require references and information to carry out background checks. If you have concerns about this, you should speak to your recruiter or our HR department.

  2. First and last name
  3. Telephone number
  4. Location
  5. Information provided by uploading your resume/CV and/or cover letter which can include your name, telephone number, email address, physical address, photo, linguistic skills, LinkedIn profile (or other Social Media details) and more information about your experience including previous employment information (e.g. date of hire, job title, team, work location etc.), education, job related skills, competencies and areas of interest
  6. Any sensitive and/or demographic information obtained in accordance with applicable law during the application or recruitment process such as gender, disability, veteran status, information about your citizenship and/or nationality and/or right to work or reside in a specific country, health information (to confirm you’re fit to work) and/or your racial or ethnic origin
  7. ID and/or Passport and Social Security Number (where applicable) as well as visa or work permit details when you are successful in your application, which will be processed in connection with your employment relationship with the Hiring Client organization.
  8. Details of the type of employment you are or may be looking for, your notice period in relation to your current employment, current and/or desired salary and other terms relating to compensation and benefits packages, willingness to relocate or travel, and/or other job preferences.

How We Use Your Information

Your Information can be Used for the Following Purposes

  1. Provide you with the recruitment services through our career portal
  2. Verify your eligibility or match you with the selection criteria as laid down in the job description. This also includes carrying out reference checks and/or conducting pre-employment screening (where applicable) as permitted by applicable
  3. Assess your application and skills, qualifications, interests and suitability against our open
  4. Communications with you about the recruitment process and/or your application(s).
  5. Information regarding your job application history and any other communication you may have with the involved recruiting department of Binding Minds Inc.
  6. The administration of the recruitment process and if your application is selected, further scheduling and organizing of interviews.
  7. In the event the recruitment process leads to you and the hiring client organization entering an employment relationship, the electronic file with your job applicant data will be used to conclude an offer letter and/or contract with you and further processed as ‘employee data’, subject to the Employee Privacy
  8. Send job notifications regarding new opportunities only when you have given us your explicit
  9. To administer and maintain payroll, employment benefits, IT accounts and other employee records
  10. To authenticate your identity
  11. To monitor your compliance with any of your agreements with Binding Mind ’s policies, including managing performance and investigating misconduct, and to administer the provision or receipt of products or services under those agreements when required by law and/or government authorities to comply with legal and regulatory requirements

Use and Disclosure

Unless authorized or required by law, Binding Minds Inc. will only use or disclose personal information where necessary to fulfil the purposes for which that information was collected.

When your personal information is to be used or disclosed for a purpose not previously identified, the new purpose will be communicated to you before such use or disclosure, and your consent will be sought unless the use is authorized or required by law.

Please ensure that you include your name and clear instructions on what information you need. You do not need to state the reason for your request. We will provide this information free of charge and we will provide this information to you as swiftly as possible and within one month of your request unless the request is complex or is numerous requests. If this is the case, we will inform you within one month of your request about the reason for the extension of time.

It should be noted that if your request is excessive, disproportionate, or repetitive we may ask you to narrow the focus of your request, or we are permitted to decline the request.

Right of Erasure (Right to be Forgotten)

Please Note: Binding Minds Inc. does not sell your personal information. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Withdraw Your Consent

If we have collected and processed your personal information with your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
